Order Cancellation Policy

ORDER CANCELLATION POLICY

Sellers on PatriotBuySell are expected to fulfill every order they accept. This policy explains when a seller is permitted to cancel an order, and how cancellations affect a seller's account.


When Sellers May Cancel an Order

Sellers may cancel an order for the following reasons:

  • Buyer non-payment — payment was not completed at checkout and the order was never finalized
  • Out of stock — the item is no longer available to sell
  • Buyer request — the buyer has contacted the seller and requested to cancel before the order has shipped
  • Problem with the buyer's address — the seller is unable to ship to the address provided
  • Other exceptional circumstances, such as a suspected fraudulent order

Seller Responsibilities

  • Cancellations should be submitted as soon as possible once the reason for cancellation is known
  • Sellers must select the correct and honest reason when canceling an order
  • Any payment collected for a canceled order must be refunded in full to the buyer

What's Not Allowed

  • Canceling an order for a reason other than the actual cause of the cancellation
  • Repeatedly canceling orders due to lack of available stock
  • Canceling an order to avoid completing a sale at the original listing price
  • Pressuring a buyer to request a cancellation on the seller's behalf

What's Allowed

  • Canceling an order for buyer non-payment, out-of-stock inventory, a buyer-requested cancellation, or an undeliverable address, provided the correct reason is selected

Impact on Seller Account

Cancellations are tracked as part of a seller's performance record. Sellers with a high rate of cancellations, particularly for reasons within the seller's control, such as being out of stock, may see this reflected in their seller performance standing and may become subject to selling restrictions.

Cancellations due to buyer non-payment do not count against a seller's cancellation rate, provided the correct reason is selected.


Seller Responsibilities 

As a seller on PatriotBuySell, you are responsible for keeping your inventory accurate and communicating promptly with buyers before canceling an order. Repeated or improper cancellations may result in account action.


PBS reserves the right to take action when a seller violates this policy. Actions may include:

  • Seller warnings
  • Temporary selling restrictions
  • Permanent account suspension
  • Other actions required by law or the PBS User Agreement

Why We Have This Policy

Every buyer on PatriotBuySell commits to a purchase in good faith. Unnecessary or dishonest cancellations disrupt the buying experience and undermine trust in our marketplace. This policy exists to ensure that order cancellations are used honestly and only when truly necessary, protecting buyers while maintaining a reliable environment for all members of our community.
